Portfolio Terms of Service
Version 2
Prism - in effect from 17 October 2026
These terms cover Prism Portfolio: the personal portfolio pages published at prismphoto.club. They are an agreement between you and Templeton-Smith Ltd, a company registered in England and Wales under company number 14618653, which operates Prism. Where these terms say "we" or "us", they mean that company.
They do not change anything about your club membership. Competition entry, judging, scores and your club's own records are governed by your arrangement with your club and are described in the Privacy Policy. If you hold an independent Prism account and belong to no club, these terms, the Portfolio Content Standards and the Privacy Policy are the whole of your agreement with us.
1. Who can publish a portfolio
You need a Prism account, either as a member of a club that uses Prism or as an independent photographer. One person, one portfolio.
An independent account is for adults: you must be 18 or over to open one. You confirm that when you register.
This applies to independent accounts only. Younger members of a club that uses Prism are welcome, through the account their club creates and manages for them, and nothing here changes that. We do not carry out identity or age verification, and nothing in these terms should be read as saying we do.
2. Your photographs stay yours
You keep every right you already have in your photographs, titles, captions and biography. Publishing through Prism gives us no ownership of any of it.
You give us permission to do only what running the service requires: store your material, make the copies a website needs (thumbnails, resized versions and routine backups), and show it to whoever your chosen visibility allows:
- Draft - only you, and administrators who support the service.
- Link only - anyone who has the address. It is not listed or advertised by us, but a link can be forwarded, and we cannot control who follows it.
- Public - anyone. Search engines and social networks may index it, copy it into previews and keep those copies for a while after you change your mind.
That permission exists only so we can run the service and publish your work the way you asked. It ends when you remove the material or your portfolio, except for backup copies that age out on their normal schedule, and copies other people have already made, which are beyond our reach.
We do not sell your photographs, licence them to anyone for any purpose unrelated to running Prism, or use them to train AI models. The permission above is limited to hosting, resizing, backing up and displaying your work as you have asked, and to nothing else.
You are responsible for having the rights and permissions you need for what you publish, including any permission needed from people who appear in your photographs.
3. What you publish must meet the Content Standards
The Portfolio Content Standards form part of these terms. They set out what may and may not be published, what happens if they are breached, and how anyone can report a problem. Please read them; you are asked to accept both documents together.
4. What we provide, and what we do not promise
We will provide the service with reasonable skill and care. We do not promise that it will be uninterrupted or fault-free, and we may change or withdraw features. Where a change significantly affects published portfolios, we will tell you before it takes effect if we reasonably can.
Prism is not a backup service. Please keep your own copies of your photographs.
5. The founding offer
Independent accounts opened under the current founding offer get up to 50 photographs, with the first year free from the day the account is activated, and £25 a year after that. It is a limited-time offer.
Nothing is charged automatically. There is no card to enter and no payment arrangement of any kind, so nothing can be taken without you doing something. We will tell you before your free year ends.
Accounts activated under the earlier founding offer keep the two free years they were given; the offer each account was activated under is recorded against it and a later change does not rewrite it.
Nothing will be deleted or unpublished without telling you first.
6. Ending things
You can unpublish or delete your portfolio at any time, from your own account.
We may suspend a portfolio where we reasonably believe the Content Standards have been breached. Suspending hides a portfolio from the public; it does not delete anything, you can still sign in, and you can still edit your portfolio to put right whatever caused the suspension.
To close your account, email prism@templeton-smith.com and say so. That address is monitored, and is the same one used for every other request in these terms and the Privacy Policy. You do not need to close your account to take your portfolio down: you can unpublish or delete it yourself at any time.
When an account is closed - by you or by us - the portfolio stops being available straight away, and we delete your account content within 30 days. Two exceptions, both narrow: copies inside routine backups disappear as those backups age out on their normal cycle, and we keep anything the law requires us to keep for as long as it requires.
If we end your portfolio access for any reason other than a breach of the Content Standards, we will give you reasonable notice and a fair opportunity to take a copy of your work first.
7. Your personal information
How we handle personal information is described in the Privacy Policy.
8. Our responsibility to you
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
If you are a consumer, you have legal rights that these terms do not affect, and nothing here is meant to restrict them.
Beyond that, and so far as the law allows: we are not responsible for losses that were not reasonably foreseeable when you started using Prism, nor for loss of profit, business or goodwill. Prism is not a backup service, so please keep your own copies of your photographs.
9. Changes to these terms
If we change these terms we will publish a new version and ask you to accept it. Until you do, your portfolio stays published exactly as it is and stays visible. You simply will not be able to publish a new one, or change the title, web address or appearance of the one you have. If you hold an independent account you will also not be able to add new photographs to your image bank until you accept. We keep a record of which version you accepted and when, and every published version stays readable.
10. Law, and where to complain
These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland you may also bring proceedings in the courts there.
To raise a problem, use the Report this portfolio link in any published portfolio's footer, or reply to any message Prism has sent you. If your own portfolio has been suspended and you believe that was wrong, ask for a review the same way.
These terms are written in plain English and are not legal advice.
